Board of Directors Meeting
June 7th, 2009
5:00 pm, Frisco Senior Center
Attending: Board Members Joanne Stolen, Marika Page, Mike Babnik, Greg Ruckman and approximately twenty members.
Greg Ruckman addressed the value of operating in an open and transparent manner involving all Club members in decision making processes.
For the next three months the Board should try to meet monthly as the new Club gets started. Meeting dates are to be confirmed by Board Members shortly and distributed to the entire membership. Agendas and Minutes for all Board Meetings will be emailed to all members and posted on the Club website. Meetings will be open to all members and anyone else who is interested.
The Board can make decisions or take action between Board meetings if all Board Members are contacted with specifics of a proposed decision and a timetable within which to respond to the proposal. A majority of the Board must vote to approve the decision at the end of the established time period. The voting Board members must include the specifically appropriate Board Member (for instance the Club Captain/Treasurer for decisions on Safety/Finances).
As a guideline, any decisions made by Board Members involving over $100, or any major equipment decisions should be approved by the Board by this method. If Board Members are in doubt as to whether Board approval for a decision/action is needed, it is better to err on the side of getting Board approval.
Any decisions made by this method between Board Meetings will be addressed openly and voted upon at the next public Board Meeting.
The Board asked the Club Treasurer for help preparing a Club Budget appropriate to present to all members and to be approved by the Board at the next Board Meeting. The Board confirmed its sincere appreciation for the time and energy given by the Treasurer and will make every effort to limit demands on his time.
The Board needs to draft and approve a Conflict of Interest Policy.
The Silverthorne Rec Center may allow for “flip tests” on Tuesday evenings in their pool.
Marika Page will run Orientations/Captain’s Tests. The first Orientation/Captain’s Test will be Saturday June 13th at 9:00 am. The items included in the Captain’s Test will be posted on the Club website.
Members must pass the Captain’s Test to row without a safety launch on the water.
As of now, Marika Page, Club Captain, is the only person authorized to test and approve experienced and visiting rowers. All visiting rowers must sign Club waivers.
No Junior rowers will be approved to row alone regardless of experience. Junior rowers must row in a team boat or with another boat or safety launch.
Marika will maintain a list of approved rowers.
The traffic pattern for rowers is posted in the back of the logbook and will be posted on the website. The importance of following the traffic pattern was emphasized.
A copy of Joanne’s introduction to sculling and any other beginner lessons materials will be posted on the Club website.
The Board will prepare a questionnaire for all members on optimizing our fleet.
Only Club coaches can use the two Club launches. Marika will coordinate.
The Club Captain will maintain an equipment sign-out sheet for Club boats.
There will be two sign-out periods each morning: 6:30-8, 8-9:30 am.
Members can reserve boats up to three times per week up to two weeks in advance.
Members can use boats not already reserved as many times as they want each week.
It is Members’ responsibility to mark or separate private oars from Club oars if they don’t want other members to use them.
Joanne and other Club members are working on expanding current racks for Club and private boats.
Joanne is organizing logistics and volunteers for our August 2nd, 2009 regatta.
The Club is moving forward with programs for adaptive rowing, the Boy Scouts, and community learn-to-row programs.
There seems to be no reason for the Club to join USRowing.
The Board confirmed that Joanne will be the ONLY contact for business with the Frisco Marina and Town of Frisco.
Precautions need to be taken to protect Club equipment during the Fourth of July celebrations at the Frisco Marina.
A comprehensive “Contacts” section should be added to the Club website.
This should include information on specific roles within the Club.
This could include contact information for all Club members if members don’t object.
A Club member donated numerous tickets to the local Tuesday and Wednesday music concerts.
A Club member donated sweep oars.
These Minutes will be approved by the Board at its next open meeting pending any changes. Proposed changes to these minutes should be emailed to gregruckman@hotmail.com or to any other Board Member.
